DOT medical card tracker

Add each driver's medical exam date and the period on the certificate, and the tool shows the expiry date, the days left and who is due soon. Export calendar reminders 60 and 30 days before each expiry, or a CSV for the driver files.

Expiry here is the exam date plus the period you chose. The expiry date printed on the medical certificate is the one that counts, so check it and correct the period if they differ.

Why an expired medical card is a big problem

A driver who has not been medically examined and certified within the past 24 months is not qualified to drive a commercial motor vehicle under 49 CFR 391.45, and examiners often certify for a shorter period. When a card lapses, the driver has to stop driving commercially until a new exam is done. A list with every expiry date and a reminder well ahead stops that from coming as a surprise in the middle of a busy week.

Let the reminders come to you

This tracker works for a handful of drivers. For a larger fleet, GeoDocs, built by High Point GPS and listed on the Geotab Marketplace, keeps driver and vehicle documents in one place and sends expiry reminders automatically. It sits alongside our GPS fleet tracking and our ELD, DVIR and IFTA compliance tools, so driver qualification and hours of service live in the same system.

Tips for keeping medical cards current

  1. Use the expiry date printed on the certificate. The examiner can set a period shorter than 24 months, for example to monitor a condition.

  2. Book the next exam as soon as the 60 day reminder comes in. Clinic appointments can take weeks to get.

  3. For CDL holders, check the medical status on the driver's record from the state, not only the paper copy in the file.

  4. Keep a note of any medical variance or exemption next to the expiry date, since it can have its own end date.

DOT medical card questions

How long is a DOT medical card valid?
Up to 24 months. Under 49 CFR 391.45, a driver must be medically examined and certified at least once every 24 months. The medical examiner can certify for less, often one year or a few months to monitor a condition such as high blood pressure. The expiry date printed on the certificate is the one that applies.
Do CDL holders still hand in a paper medical card?
In most states, no. Since June 23, 2025, FMCSA sends exam results for CDL holders and CLP applicants electronically from the National Registry to the state licensing agency, which posts them to the driver's record. In states that have not made the change yet, drivers still submit the paper certificate. Check with your state licensing agency.
How does a carrier check a driver's medical certification?
For CDL holders in states using the electronic system, FMCSA says carriers should use the driver's motor vehicle record from the current licensing state rather than the paper certificate. For drivers without a CDL, the paper medical examiner's certificate is still issued and still goes in the driver qualification file.
Does this tracker apply to Canadian drivers?
The 24 month rule is a US federal rule. In Canada, medical requirements and renewal intervals are set by each province and can depend on the driver's age and licence class. Check with your provincial licensing authority, such as the SAAQ in Quebec, and enter the period that applies to each driver in the tracker.
Where is the data I enter stored?
Only in this browser on this device. Nothing you type is sent to High Point GPS or anyone else. Clearing your browser data removes the list, so export the CSV regularly and keep it with your driver files. The calendar file you download works in Outlook, Google Calendar and Apple Calendar.
