Why a signed proof of delivery matters

A proof of delivery is the signed record that the goods reached the right person, at a given date and time, in a stated condition. It is what you show when a customer says an order never arrived or arrived damaged, and it is often what triggers the invoice. Writing exceptions on the form at the door, rather than later by email, keeps the record clear.

Proof of delivery without the paper

A printed form works, but paper gets lost in the cab. With FleetZap, our dispatch and maintenance software, drivers capture proof of delivery in the driver app and customers follow a live tracking link sent by email. GPS fleet tracking from High Point GPS adds the time and place each vehicle stopped, so the delivery record and the vehicle history match.

Tips for a reliable proof of delivery

  1. Ask the receiver to print their name next to the signature. A scribble alone is hard to match to a person later.

  2. Count the items with the receiver and write the delivered quantity, even when it matches what was shipped.

  3. Note any damage, shortage or refusal in the exceptions box before the receiver signs, not after.

  4. Write the delivery time, not only the date. It settles most disputes about late or missed deliveries.

Questions about proof of delivery

Is this proof of delivery template free?
Yes. You fill it in on this page, add your company name and logo, and print it or save it as a PDF from your browser. There is no sign-up, and nothing you type is sent to High Point GPS. Your entries stay in your own browser, so clear them when you use a shared computer.
What should a proof of delivery include?
At minimum: a reference number, the delivery address, the date and time, the items and quantities delivered, their condition, and the receiver's printed name and signature. The driver's name and vehicle number help when you need to trace the delivery later. An exceptions box records any damage, shortage or refused items.
What is the difference between a proof of delivery and a delivery receipt?
The two overlap, and many companies use the terms interchangeably. A proof of delivery usually comes from the carrier and focuses on the handover: time, condition and exceptions. A delivery receipt is often the seller's document, listing the items ordered, with the customer's signature confirming they received them.
What should the driver do if the receiver refuses part of the delivery?
Write the refused items and quantities in the exceptions box, with the reason the receiver gives, and have the receiver sign the form as it stands. Then bring the refused goods back or follow your dispatcher's instructions. A photo of any damage helps when the claim is reviewed later.
Can drivers capture proof of delivery on a phone instead?
Yes. FleetZap, the dispatch and maintenance software made by High Point GPS, includes a driver app with proof of delivery, and customers can follow their delivery with a live tracking link sent by email. A printed form remains a good backup for drivers without a phone or for sites with poor coverage.
