What a weekly timesheet is for
A weekly timesheet records when each employee started and finished work, their breaks and what they worked on, so payroll is based on a signed record rather than memory. For field crews and drivers, adding the vehicle and the job to each day also shows where labour went, which helps with billing customers and costing jobs.
Check timesheets against where the vehicles were
A timesheet says when the work happened. High Point GPS fleet tracking records when each vehicle left, where it stopped and when it returned, and drivers who must keep logs record their hours through an electronic logging device (ELD). FleetZap, our own software, adds dispatch and a driver app with proof of delivery for each job.

Fill in the timesheet at the end of each day rather than on Friday from memory.
Write the vehicle unit number and the job or customer for each day, so hours can be matched to work.
Use the time card calculator to turn start, end and break times into decimal hours before you fill in the totals.
Have the employee and the supervisor sign the same week, then keep the PDF with your payroll records.
Timesheet questions
- Is this timesheet template free?
- Yes. You fill it in on this page and print it or save it as a PDF from your browser. There is no sign-up, and nothing you type is sent to High Point GPS. Your entries stay in your own browser, so clear them when you use a shared computer or a tablet that other people use.
- What should a weekly timesheet include?
- At minimum, the employee's name, the week, and each day's start time, end time, unpaid break and hours worked. This template also has the vehicle and the job for each day, regular and overtime totals, notes, and signatures from the employee and the supervisor, which is what most field and fleet employers need.
- How do I fill in overtime hours?
- Add up the week's hours, then split them into regular and overtime hours using the threshold that applies to the employee. That threshold depends on the province, territory or state and sometimes the industry, so check your local employment standards. The time card calculator can do the split once you enter the threshold.
- Can I save the timesheet as a PDF?
- Yes. Select print, then choose Save as PDF as the printer in your browser's print window. The timesheet prints in landscape on one page with your entries filled in. You can email the PDF to payroll or keep it in a shared folder, and print a blank copy for crews who prefer paper.
- How long should I keep timesheets?
- Record retention rules depend on where the employee works and on tax rules, and they differ between provinces, territories and states. Check the employment standards office and the tax authority that apply to you, or ask your accountant. Keeping the signed PDFs in one folder by week makes them easy to find when you need them.
