IFTA in Ontario: How to File and Stay Compliant
Ontario IFTA runs through ONT-TAXS Online, with a per-set decal fee like New Jersey. Here is how registration and filing actually work.

Who Administers IFTA in Ontario
Ontario's Ministry of Finance administers IFTA for carriers based in the province. After registering, the Ministry issues a single IFTA license covering a carrier's whole fleet of qualified vehicles, along with two decals per qualified vehicle, the same one-license, per-vehicle-decal structure used across IFTA member jurisdictions generally.
Both the license and the decals run on a calendar year, valid January 1 through December 31, and need to be renewed annually rather than staying open-ended. Carriers are also required to carry a photocopy of the IFTA license in each qualified vehicle, a specific documentation detail worth building into a standard onboarding checklist rather than discovering at a roadside inspection.
Filing Through ONT-TAXS Online
Ontario carriers register and file through ONT-TAXS Online, the Ministry of Finance's online tax services portal, which handles the initial IFTA application, decal renewals, and requests for additional decals. Quarterly returns follow the standard schedule shared across every IFTA jurisdiction, and all IFTA quarterly tax returns need to be filed, with any motor fuel taxes owed paid, by each quarter's due date.
Renewal is proactive on the Ministry's side: carriers in good standing receive an Annual Renewal Request for IFTA Decals form at least 30 days before their license expires. Renewal can be completed online through ONT-TAXS, in person at the Oshawa Tax Information Centre, or by mail with the completed application and decal fee payment.
The Decal Fee
Ontario charges $10 for each set of IFTA decals ordered, whether that's the initial set, additional decals for fleet growth, or replacements, and that fee has to be paid before the Ministry will issue the decals. That's the same $10 per-set structure New Jersey uses among the US states covered elsewhere in this series, a genuine point of overlap between the two jurisdictions and a real difference from most other US states, which typically don't charge for decals at all.
For a growing fleet, that means decal costs scale with vehicle count in a way worth factoring into expansion planning, not treating IFTA credentials as a flat, one-time cost regardless of how many qualified vehicles get added.
Keeping the Photocopy Requirement From Becoming a Real Problem
The in-vehicle photocopy requirement sounds minor until it's the reason a vehicle gets flagged at a roadside stop, a missing or outdated photocopy after a license renewal is an easy, avoidable gap. Building a simple check into the annual renewal process, confirming every qualified vehicle actually has a current photocopy on board, not just that the fleet-wide license itself was renewed, closes that gap before it becomes an inspection finding.
More broadly, GPS-verified trip records are what make an Ontario IFTA return defensible if it's ever questioned, the same jurisdiction-crossing data that removes manual reconstruction work applies here exactly as it does in every other IFTA jurisdiction, regardless of which specific agency or portal is on the other end of the filing.
