IFTA in Tennessee: How to File and Stay Compliant

Tennessee IFTA is opened, renewed and managed through TNTAP, the Department of Revenue's Taxpayer Access Point, with a credential valid January 1 to December 31. For a fleet bordering eight states, here's how the licence and the quarterly return work.

Who Administers IFTA in Tennessee

The Tennessee Department of Revenue administers IFTA for carriers based in the state, through TNTAP — the Tennessee Taxpayer Access Point. Tennessee borders eight states, so a carrier working the Memphis or Nashville distribution corridors crosses jurisdictions as a matter of routine, and the IFTA requirement — qualified vehicles over 26,000 pounds or with three or more axles operating in two or more member jurisdictions — applies to nearly every fleet of any size.

A Calendar-Year Credential, Managed in TNTAP

The Tennessee IFTA licence and decals are valid January 1 to December 31 and expire at year end regardless of when in the year they were issued. A carrier that registers in October is renewing in December. The renewal, decal order, quarterly return and payment all happen in TNTAP, where the IFTA account is added to the carrier's existing Department of Revenue login.

Quarterly returns are due April 30, July 31, October 31 and January 31, or the next business day. A quarter with no interjurisdictional travel still requires a zero return, and a late return carries the standard IFTA penalty plus interest.

Eight Borders and Two Freight Hubs

A Tennessee truck can touch Kentucky, Arkansas and Mississippi in a single day out of Memphis, or Georgia, Alabama and Virginia out of Nashville. The return has to put every one of those miles in the right column, and a reconstruction from trip sheets across that many crossings is an estimate. Kentucky adds its own weight-distance tax, the KYU, for vehicles over 59,999 pounds, which a Memphis carrier running north will meet immediately.

Telematics logs position continuously and assigns each stretch to the state it happened in; the quarterly report produces distance by jurisdiction as a measurement, and the same trip data supports the KYU filing. The device that produces it also runs the ELD and the driver-safety reporting, so the IFTA record costs a Tennessee fleet nothing extra to keep.

Records That Survive a Tennessee Audit

Records supporting each return are kept four years from the due date or filing date, whichever is later. A Department of Revenue audit checks trip-level distance by jurisdiction and fuel purchases by jurisdiction against a vehicle and a date. A GPS distance report with its trip logs, kept with the fuel-card export, is the record that answers it.
