How Do You Run a Trips History Report in MyGeotab?

To run a trips history report in MyGeotab, go to Productivity > Trips History, filter by vehicle, driver or group and set the date range, then select a trip to see it on the map or replay it. To keep the data, download a standard or advanced report from the reports menu; larger reports are prepared in the background and wait for you in My Reports.

Trips History is where you answer questions about where a vehicle went, when it stopped and for how long. The page opens with the five most recent trips in your fleet, in progress or complete, and each trip in the list shows the date, asset, driver and start and stop addresses. See details adds stopped, idle and driving time and the full list of stops.

Step by Step: View, Replay and Download Trips

These steps follow Geotab's Trips History support article and Geotab's knowledge articles on Trips History reports. Older Geotab answers reach the page through Map > Trips History and an Options button; the current menu is Productivity > Trips History.

StepWhat to do
1. Open Trips HistoryIn the main menu, go to Productivity > Trips History. You can also open it from the Map with the Trips History button.
2. FilterUse the Search bar or the Assets dropdown, or open Filters for groups, drivers, date range, asset type, rules and trip categories. Filters combine: asset type plus the speeding rule shows speeding by service vehicles, for example. Turn on Include archived (historical) data to see vehicles or drivers no longer active.
3. SortUse the View by dropdown at the top of the list to sort by date, asset or driver.
4. Show trips on the mapSelect a trip to draw it on the map. Click Select multiple to show several trips at once.
5. ReplayClick Play on the playback bar under the map. Start from a numbered stop or change the Playback speed. Replay is not available when several trips are selected.
6. Check eventsClick a trip's Event count, then pick an event. The map zooms to where it happened, and if the vehicle has a camera you can click Request video recording.
7. DownloadOpen the reports menu at the top of the page and choose the standard or advanced report. The advanced report is an Excel file with more detailed trip data. Large reports appear in My Reports when ready.

How Do You Get Mileage by Driver or by Vehicle?

Use the Summary view. Geotab's mileage instructions are: go to Productivity > Trips History, click Summary at the top of the page, set the date range, choose whether to include archived data, set View by to Driver or Asset and click Apply. Then download the advanced report from the reports menu, or choose to view it in your browser to read it in MyGeotab.

The advanced file is easy to work with in Excel. Geotab's knowledge article explains that you can filter any column, that latitude and longitude for stops sit on a hidden Data tab you can unhide, and that conditional formatting may highlight starts outside work hours, stops inside customer, home or office zones, and long idling.

How Does MyGeotab Decide Where a Trip Starts and Stops?

A trip starts when the vehicle moves and ends when it stops. Geotab explains that a stop is recorded when the engine is turned off or when the vehicle stays under 1 km/h for more than 200 seconds with the ignition on, so a red light does not split a trip in two.

That is why Trips History and ELD logs do not always match. Geotab notes that ELD rules end a driving segment after 5 minutes at zero speed, while Trips History uses 200 seconds, and that ELD locations are shown relative to cities while Trips History uses the precise GPS position. The difference is expected and does not mean either record is wrong.

Why Is a Trips History Report Empty or Different From the Screen?

Vehicles that did not move in the date range do not appear in the report. Vehicles or drivers no longer active only appear with Include archived (historical) data turned on. A browser pop-up blocker can stop the download, and you need the right security clearance to download reports.

Small distance differences between the table on screen and the downloaded file come from rounding. A zone only shows for a trip if the vehicle stopped inside it; driving through does not count. The map itself cannot be printed from the page, so Geotab suggests downloading a report or taking a screenshot.

Can Someone See Trips History Without the Live Map?

Yes. Geotab describes a custom security clearance that turns on Display historical trip map and turns off Display the map and show live tracking. Assign it to the user under People > Users & Drivers, on the User tab. That suits a payroll clerk or an auditor who needs past trips but not live positions. High Point GPS sets up users and clearances during a MyGeotab deployment and can adjust them later.

Frequently asked questions

What is the difference between the standard and advanced Trips History reports?

Geotab describes the standard report as a summarized view of trip data and the advanced report as more granular trip data, often preferred for detailed analysis. The advanced report downloads as an Excel file you can filter and sort, with stop coordinates on a hidden Data tab. You can also view it in the browser.

Why doesn't the trips history match the driver's ELD logs?

The two use different definitions. Geotab notes that ELD rules end a driving segment after 5 minutes at zero speed, while Trips History records a stop after 200 seconds with the ignition on, and ELD locations are shown relative to nearby cities. Small differences between the two are expected and are not an ELD compliance problem.

Can I print the Trips History map?

Not directly. Geotab says the map on the Trips History page cannot be printed and cannot be included in a report, because it is interactive. Download the standard or advanced report for the trip data, and take a screenshot of the map if you need the picture for a customer or a dispute.

Can I see only business trips or only personal trips?

Yes, if your drivers categorize their trips. In Trips History, open the Filters menu, set Trip categories to Show, choose the categories you want, such as Business or Personal, and click Apply. Drivers set trip categories in Geotab Drive, so the filter only works when they use that feature.
