How to Set Up a Speeding Rule and Email Alert in MyGeotab
To get speeding emails in MyGeotab, open the rules page, add a rule, set a speed condition, then add an email on the Notifications tab. Steps here.

How Do You Get a Speeding Email Alert in MyGeotab?
To get a speeding email in MyGeotab, open the rules page from the main menu, add a rule, set a speed condition on the Conditions tab, then click Add email on the Notifications tab, choose a template and recipients, and save. From then on, every time a vehicle breaks the rule, MyGeotab records an event and sends the email.
MyGeotab already has a built-in Speeding rule in its Safety section. Geotab says the current version triggers when a vehicle exceeds the posted speed limit by 20% for more than 5 seconds, and that this threshold is not customizable. If your policy uses a different threshold, such as a set number of km/h over the limit or a hard ceiling for the whole fleet, build a custom rule. You can also add an email notification to the built-in rule through the envelope icon beside its name.
Which Speed Condition Should You Use?
MyGeotab offers several speed conditions, and Geotab's advice is that a good custom rule usually has two or three conditions: a rule with one condition may trigger too many events, and one with five or six may never trigger. Geotab's rule conditions guide gives an example of a speeding violation as driving 10 km/h over the speed limit for more than 10 seconds, which combines a Speed limit condition with a Duration.
| Condition | What it checks |
|---|---|
| Speed | A fixed speed, over or under the value you enter, on any road |
| Speed limit | Speed above the posted limit, by an amount or a percentage; you can include or exclude estimated limits and choose the speed limit provider |
| Roads with speed limit | Only roads whose posted limit is over or under a value, for example highways |
| Duration | How long the condition must be broken before an event is created |
| Zone or zone type | Limits the rule to a zone, such as a yard or a school zone you drew |
Step by Step: Create the Rule and the Email
These steps follow Geotab's support articles on rule management, custom rules and rule notifications. Button names can differ slightly between MyGeotab versions, so each step describes the action rather than a button caption.
| Step | What to do |
|---|---|
| 1. Open the Rules page | From the main menu, open the rules page. |
| 2. Add a rule | Add a new rule. Name the rule, choose a colour and select Visible if you want an icon on the map when it is broken. Select the groups it applies to in Publish to groups; left empty, it applies to the Company group. |
| 3. Set the speed condition | Open the Conditions tab. Click Speed limit, set how far over the limit the vehicle must go, as an amount or a percentage, then click Add. For a fixed ceiling, click Speed instead, enter the speed and choose Over. |
| 4. Narrow it down (optional) | Add a Duration so short passes do not trigger, or a Zone or zone type with Inside to watch one area. Click Add after each condition. |
| 5. Add the email | Open the Notifications tab and click Add email. Choose a template from the Template dropdown, or Add new template. Pick each recipient from the dropdown list in the Email field, then click Add. |
| 6. Save | Click Save. Custom rules appear under the Advanced rules section of the Rules page. |
| 7. Apply it to past trips (optional) | Geotab notes that new rule events only appear for days after the rule is published unless you reprocess the data for the dates you want. |
How Do You Send the Alert to a Group or to the Driver?
To email a whole group instead of one person, open the rule's Notifications tab and choose the option to email a group, then pick the group. Pick recipients from the dropdown list rather than typing addresses: Geotab warns that manually entered email addresses are treated as external and ignore data scope settings, so the recipient can receive events for vehicles outside their groups.
MyGeotab can also alert the driver in the cab. Driver feedback notifications include audio from the GO device, such as beeping three times, text messages to compatible devices, and spoken messages through an IOX-GOTALK where one is installed. Popup alerts inside MyGeotab and web requests to other systems are available too.
To control what the email says, open the notification templates from the rules page and add an email template. Write the subject, build the body from the available tokens (the vehicle, the speed, and the date and time of the event, for example), choose an event report to attach and click Save.
Why Is the Speeding Rule Not Sending Emails?
Start with the recipient's spam or junk folder, then reread the conditions. Geotab points out that an event only fires when every condition is met, so conditions that contradict each other, such as entering and leaving a zone at the same time, never trigger. If you expected alerts for last week's trips, remember that a new rule does not look back until you reprocess the data.
Watch for a warning on the Rules page. Geotab automatically archives rules that put too much load on the database after a set time if their conditions are not changed, and shows a banner when it does. Give each rule a distinct name too: MyGeotab allows duplicate names, but you cannot tell the rules apart on screen.
Who Can Set This Up for You?
Any MyGeotab user with permission to edit rules can do it. High Point GPS, a Geotab partner, sets up rules and notifications as part of a MyGeotab deployment and adjusts them with your safety manager afterwards, so the right person gets the email for the right vehicles.
Frequently asked questions
Can I change the threshold of the built-in Speeding rule in MyGeotab?
No. Geotab says the current built-in Speeding rule triggers when a vehicle exceeds the posted limit by 20% for more than 5 seconds, and that threshold is not customizable. To use your own threshold, create a custom rule with a Speed limit or Speed condition, then add the email notification to that rule.
Will a new MyGeotab rule flag speeding from past trips?
Not on its own. Geotab notes that a new rule's events only appear for days after the rule is published. To apply it to earlier trips, use the reprocess data option on the Rules page for the dates you need. Custom rules start working on new data as soon as they are published.
Can the driver be warned in the cab when speeding?
Yes. MyGeotab rule notifications include driver feedback: audio from the GO device, such as beeping three times, text messages to compatible devices, or a spoken message through an IOX-GOTALK where one is installed. Add it on the rule's Notifications tab, next to the email for the manager.
Why should I pick email recipients from the list instead of typing them?
Geotab warns that addresses typed in by hand are treated as external and ignore data scope settings. Picking a MyGeotab user from the dropdown list keeps their group permissions, so a branch manager only gets alerts for the vehicles they are allowed to see. Choose the option to email a group to reach a whole group.
