How to Transfer ELD Logs at a Roadside Inspection in Geotab Drive

In Geotab Drive, tap Roadside Check, set a PIN, then send your logs with the officer's code (US) or email address (Canada). If it fails, show the screen.

How Do You Send ELD Logs to an Officer From Geotab Drive?

In Geotab Drive, open Roadside Check, set a 4-digit PIN or tap No PIN, then enter what the officer gives you: in the US, a transfer code, sent by Email or Web services; in Canada, an email address, sent with Transfer (Canada). If the transfer fails, tap Compliance print and let the officer read your logs on the screen.

Both countries require this. Under 49 CFR 395.24(d), a US driver must produce and transfer their hours of service records from the ELD when an authorized safety official asks, following the instruction sheet the carrier provides. Under section 98(2) of Canada's Commercial Vehicle Drivers Hours of Service Regulations, the driver produces the display or a printout and, if the inspector asks, transmits the records by the method the inspector identifies, among those the Technical Standard provides and the ELD supports.

Step by Step: Roadside Check in Geotab Drive

These steps come from Geotab's Driver's Guide to Data Transfer at Roadside Checks, the instruction sheet Geotab says must stay in the vehicle. Geotab notes that it can change the app's design without warning, so if a label differs, go by what the app shows.

StepWhat to do
1. Open Roadside CheckOpen Roadside Check from the Geotab Drive dashboard or its menu. Where it sits depends on the app version, so look for it by name.
2. Set a PIN or skip itFor privacy, enter a 4-digit PIN and tap Set PIN, then confirm it. The PIN is needed to leave Roadside Check mode. Tap No PIN to go ahead without one.
3a. In the USEnter the transfer code the officer gives you, then tap Email or Web services, whichever the officer asks for.
3b. In CanadaEnter the email address the officer gives you, then tap Transfer (Canada).
4. If the transfer failsIn poor cell coverage, tap Compliance print to show the report on your phone or tablet. The officer uses the arrows to move between days and scrolls through each day's report.
5. Show past inspectionsIf the officer asks, tap the Asset Inspection tab at the top, then View. Scroll down and tap View again to see the defect list used in that inspection.
6. ExitTap Exit at the top right and enter your PIN, if you set one.

What Is Different Between a US and a Canadian Roadside Check?

The transfer method is the main difference. Geotab's MyGeotab documentation says Canadian logs can only be transferred by email, and web service transfers are only for US drivers. In the US, the code the officer gives you goes into the ELD output file as a comment, which 49 CFR 395.24(c) tells drivers to enter when an officer directs. When a Canadian transfer is missing vehicle distance, engine hours, the vehicle's VIN or the power unit number, Geotab says the app warns the driver and offers to cancel or proceed.

What Should You Do if the Transfer Fails?

Show the logs on the screen with Compliance print, then check your internet connection. A failed transfer at the roadside is often a profile problem. Geotab's knowledge article lists what an administrator should verify in MyGeotab: each driver's licence number and issuing state, the carrier's USDOT number, and the vehicle's VIN. If several drivers used the same vehicle in the period, each of them needs those details too.

For a Missing Driver's USDOT Number message, Geotab suggests a stable connection, a USDOT number made of digits only, and logging out and back in to Geotab Drive before trying again. An Information: The field CMV VIN is required message is not an error: Geotab says it reminds the officer to check that every driving log has a vehicle and a VIN, and Geotab Drive does not create driving logs without a vehicle.

How Do You Get Ready Before a Roadside Check?

Keep Geotab's required documents in the cab, on paper or on the device: the Geotab Drive Driver's Guide, the Driver's Guide to Data Transfer at Roadside Checks and the Driver's Guide to Data Diagnostic and Malfunction Events. Geotab's implementation guide notes that all three are available electronically in the ELD Info add-in, which our guide ELD Info: The Documents a Driver Must Show at an ELD Roadside Inspection covers. Carry the blank paper logs the rules require in case the app or the device fails.

Practise once in the yard. Open Roadside Check, set a PIN, open Compliance print, page through a few days and exit, so the first time is not in front of an officer.

Can the Office Send the Logs From MyGeotab Instead?

Yes, for audits. In MyGeotab, an administrator opens the HOS logs (Compliance > HOS > Logs), clicks Transfer, chooses whether the transfer is by drivers or by vehicles for the period, picks Email or Web Services as the auditor or inspector prefers, enters the inspector's code in the Comment field and clicks Send. Geotab says logs can be transferred for any 30-day period within the last six months, and each transfer is recorded in an audit log.

Geotab suggests the ELD Settings Validator add-in, on the Geotab Marketplace, to check driver and vehicle settings before a transfer. High Point GPS sets up MyGeotab and Geotab Drive for its fleets and can review those settings with your administrator.

Frequently asked questions

What is the transfer code an officer gives at a US roadside check?

It is a code the officer asks you to enter so your ELD file reaches them. US rules require the driver to add an output file comment when an officer directs, and in Geotab Drive you type the officer's code in the transfer screen, then tap Email or Web services, whichever the officer asks for.

Can I send my logs by web services at a Canadian roadside check?

No. Geotab's documentation says Canadian logs can only be transferred by email, and web service transfers are for US drivers. In Canada, enter the email address the officer gives you and tap Transfer (Canada). If the transfer fails, use Compliance print to show the records on your phone or tablet instead.

What if there is no cell coverage at the inspection?

Tap Compliance print in Roadside Check to show your logs on the device. The officer moves between days with the arrows and scrolls through each report. Keep the blank paper logs both countries require in the cab as well, in case the app, the phone or the telematics device stops working.

Why set a PIN before handing my phone to the officer?

The PIN keeps the device in Roadside Check mode, so whoever holds it sees only the inspection screens. You need the same 4-digit PIN to exit. Setting one is optional: tap No PIN to skip it, and you can still leave the mode afterwards by tapping Exit.
